Creating and Managing Tags #
Tags are flexible labels for categorizing contacts based on behaviors, attributes, or custom criteria. Contacts can have unlimited tags.
Understanding Tags #
Tags are informal contact labels (e.g., VIP, Hot Lead, Tech Industry, Needs Follow-up) with no subscription management. Unlike lists, tags can be applied liberally.
See Lists and Tags for comparison.
Creating Tags #
Three Methods #
Method 1: From Tags Page
- PloverCRM → Tags → Add New Tag
- Enter name, slug (auto-generated), description (optional)
- Click Add New Tag
Method 2: While Editing a Contact
- Open contact → Tags metabox
- Type new tag name → Press Enter
- Tag is created and assigned instantly
Method 3: Quick Creation
- Type tag name in any tag field → Press Enter

Naming Tips: Use title case and consistent terminology. Avoid generic names (e.g., Tag1) or unclear abbreviations.
Managing Tags #
Edit a Tag #
- PloverCRM → Tags → Hover over tag → Edit
- Update name or description
- Click Update

Delete a Tag #
- Hover over tag → Delete → Confirm
- Tag is removed from all contacts (contacts remain)
⚠️ Before deleting: Export contacts, verify the tag is obsolete, and check automation rules.
Merge Tags #
To combine similar tags (e.g., “VIP” and “V.I.P.”):
- Filter by the tag to merge → Select all contacts
- Add the primary tag → Remove the old tag → Delete the old tag
Adding/Removing Tags #
Manual Tagging #
Single Contact:
- Open contact → Tags metabox → Type/select tag → Update
Multiple Contacts:
- PloverCRM → Contacts → Select contacts
- Bulk Actions → Add Tags → Enter tags (comma-separated) → Apply

Automatic Tagging #
- Form Integration: Auto-tag contacts from form submissions
- Behavioral: Email opens, link clicks, page visits
- API: Programmatic assignment
Removal #
- Single: Click X next to tag in the contact edit screen
- Multiple: Bulk Actions → Remove Tags
Best Practices #
Organization by Type:
- Priority/Status: VIP, Hot Lead, High Priority
- Industry: Tech Industry, Healthcare, Finance

- Source: Website Lead, Referral, Trade Show
- Lifecycle: New Contact, Qualified, Customer
Naming Convention:
Priority: VIP, High Priority

- Keep active tags manageable (50–100)
- Standardize names and document meanings
Troubleshooting #
| Issue | Solution |
|---|---|
| Cannot create tag | Check permissions, verify unique name |
| Tag not appearing | Refresh page, clear cache, verify creation |
| Cannot delete tag | Check permissions, remove from contacts first |
| Tags not applied | Verify edit permissions, try single contact |
| Too many tags | Audit and merge similar tags, implement naming conventions |
