Creating and Managing Lists #

Lists are formal contact groupings for email campaigns and segmentation. Contacts can belong to multiple lists.

Understanding Lists #

Lists are structured segments for email marketing (e.g., Newsletter, Customers, Leads). Unlike tags, lists are subscription-based with opt-in/opt-out management.

Creating Lists #

  1. Navigate to PloverCRM → Lists
  2. Click Add New List
  3. Enter Name, Slug (auto-generated), and Description (optional)
  4. Click Add New List

Naming Tips: Use clear, descriptive names (e.g., Newsletter Subscribers, VIP Customers). Avoid generic names or unclear abbreviations.


Managing Lists #

Edit a List

  1. PloverCRM → Lists → Hover over list → Edit
  2. Update name or description
  3. Click Update

Delete a List

  1. Hover over list → Delete → Confirm
  2. List is removed; contacts remain (relationships removed)

⚠️ Before deleting: Export contacts, verify the list is unused, and check active campaigns.


Adding/Removing Contacts #

Manual Addition

Single Contact:

  1. Open contact → Lists metabox → Check boxes → Update

Multiple Contacts:

  1. PloverCRM → Contacts → Select contacts
  2. Bulk Actions → Add to Lists → Select lists → Apply

Automatic Addition

  • Form Integration: Auto-add contacts from form submissions
  • Import: Assign to lists during CSV import
  • API: Programmatic assignment

Removal

  • Single: Uncheck list boxes in the contact edit screen
  • Multiple: Bulk Actions → Remove from Lists

Best Practices #

Organization Examples:

  • Email Marketing: Newsletter, Product Updates
  • Lifecycle: Leads, Prospects, Customers
  • Events: Webinar Registrants, Conference Attendees

Naming Convention:

[Category] - [Specific]
Newsletter - Subscribers
Events - 2026 Conference

Maintenance:

  • Keep one clear purpose per list
  • Aim for 10–20 active lists
  • Perform monthly audits and cleanup
  • Document purpose in descriptions

Permissions:

  • Super Admin: Full management
  • CRM Manager: Create, edit, limited deletion
  • CRM Agent: View and add contacts only
