Managing Contacts

Overview #

The mobile app gives you full contact management — browse, search, filter, create, edit, and delete contacts from anywhere.


All Leads Tab #

The All Leads tab shows your contacts in a scrollable table with customizable columns. Features include:

  • Infinite scroll pagination
  • Pull to refresh
  • Customizable visible columns
  • Table zoom control (50%–150%)
  • Search and advanced filtering

Toolbar

The leads screen header has three controls:

Customizing Columns

Tap the Columns icon to select which fields display in the table. Choose from standard fields (name, email, phone, stage, etc.) and any custom fields configured in your CRM.

Your column selection is saved locally and persists across sessions.

Table Zoom

Tap the Zoom icon to adjust table density. Preset options: 50%, 75%, 100%, 125%, 150%. Use +/- buttons for fine control in 10% increments.

Zoom preference is saved and persists across sessions.


Searching Contacts #

Tap the Search icon (magnifying glass) to open the search modal.

  • Type a name, email, phone number, or any text
  • Results update as you search
  • Search checks: name, email, phone, and custom text fields
  • Case-insensitive, supports partial matching

When a search is active, the search icon highlights to remind you that results are filtered.

Open the search modal and clear the text, or tap Clear to remove the active search filter.


Filtering Contacts #

By Stage

Tap a stage card on the Dashboard to filter leads by that stage. Or use the filter options in the leads view.

By List

Tap a list on the Dashboard to filter leads by that list.

Clearing Filters

Tap Clear Filter to remove all active filters and show all contacts.


Viewing Contact Details #

Tap any contact in the list to open their detail view. The detail screen has three tabs:

Contact Tab

  • Header — avatar, full name, and quick action buttons
  • Quick Actions — Call, SMS, Email, WhatsApp, Telegram (configurable in Settings → Lead Details)
  • Stage — current pipeline stage (tap to change)
  • Fields — all standard and custom fields
  • Tracking Data — UTM parameters, landing page, device info, IP, geolocation (if available)

Activity Tab

Complete interaction history in reverse chronological order:

  • Notes added by team members
  • Activity logs (calls, emails, meetings, etc.)
  • System activities

Add a new note or log an activity using the input at the bottom.

Reminders Tab

All reminders associated with this contact:

  • Pending reminders with scheduled date/time
  • Completed reminders
  • Create new reminders with the + button

Quick Actions #

The contact header shows action buttons for direct communication:

You can customize which actions appear in Settings → Lead Details → Contact Actions.

After using a quick action, you may be prompted to log the interaction as an activity.


Creating a Contact #

  1. Tap the Add New Lead tab (or the + icon)
  2. Fill in the form:
    • Required: At least one of: Full Name, Email, or Phone
    • Core fields: Name, email, phone, city, country, date of birth
    • Custom fields: All fields configured in your CRM, with appropriate input types
    • Organization: Lists (checkboxes), Tags (checkboxes), Stage (dropdown)
    • Owner: Assign to a user (Super Admin only)
  3. Tap Save

Auto-Assigned Lists

Contacts created from the mobile app are automatically added to:

  • App_Leads_Form — identifies mobile-created contacts
  • No_Email — if no email address is provided

Validation

  • Duplicate detection by email and phone
  • Required field validation
  • Format validation (email, phone)

Editing a Contact #

Inline Editing

For dropdown/select fields (like Stage), tap the field value directly on the contact detail screen to change it immediately.

Full Edit

  1. Open the contact
  2. Tap OptionsEdit
  3. Modify any editable fields
  4. Tap Save

Field editability depends on your CRM role permissions. Some fields may be read-only.


Deleting a Contact #

  1. Open the contact
  2. Tap OptionsDelete
  3. Confirm the deletion

What’s deleted: Contact data, custom field values, notes, activities, reminders, and list/tag associations.

What’s preserved: The lists, tags, and stages themselves — only the contact’s membership is removed.

Deletion permissions depend on your CRM role.


Tips #

  • Pull to refresh the leads list to get the latest data
  • Use column customization to show only the fields you need
  • Zoom out (50–75%) to see more contacts at once on smaller screens
  • Zoom in (125–150%) for easier reading on tablets
  • After admin changes to fields, lists, or stages, go to Settings → Data & Sync to refresh workspace data
