Data Deletion Policy

Overview

This page explains how to request deletion of your personal data from PloverCRM systems and websites using PloverCRM.

Important: PloverCRM is Self-Hosted

PloverCRM is a self-hosted CRM solution. This means:

  • Your contact data is stored on your own WordPress server, not on our servers
  • We (WebPlover) do not have access to the contact data stored in your PloverCRM installation
  • Each website using PloverCRM is independently responsible for their data

How to Delete Your Data

If Your Information is Stored in a PloverCRM Installation

If you submitted a form or your information was collected by a website using PloverCRM, you need to contact that website’s administrator directly.

Steps to request deletion:

  1. Identify the website that collected your information
  2. Contact the website administrator or data protection officer
  3. Request deletion of your personal data under GDPR, CCPA, or applicable privacy laws
  4. The administrator can delete your data from their PloverCRM system

What can be deleted:

  • Contact information (name, email, phone number)
  • Custom field data
  • Activity history and timeline events
  • Notes and tags
  • UTM tracking data and visitor metadata
  • All associated records

If You Are a PloverCRM Administrator

To delete contact data from your PloverCRM installation:

1. Delete Individual Contacts:

  • Navigate to the contact’s profile
  • Click the delete option
  • Confirm deletion
  • All associated data (activities, notes, tags) will be permanently removed

2. Bulk Delete Contacts:

  • Use the bulk actions feature in the contacts list
  • Select contacts to delete
  • Choose “Delete” from bulk actions
  • Confirm deletion

3. Export Before Deletion (Optional):

  • Export contact data to CSV before deletion
  • Navigate to Settings → Data Sync → Export
  • Select fields and contacts to export
  • Download the CSV file

4. Complete Uninstallation:

  • To remove all PloverCRM data, deactivate and delete the plugin
  • This will remove all plugin settings and configurations
  • Note: Contact data stored in your CRM (FluentCRM or PloverCRM tables) may need to be deleted separately

Mobile App Data Deletion

To delete data from the PloverCRM mobile app:

1. Remove Workspace:

  • Open the app
  • Go to Settings → Workspace
  • Tap “Remove Workspace”
  • This deletes all locally cached data and push notification tokens

2. Uninstall the App:

  • Delete the PloverCRM app from your device
  • This removes all local data, including:
    • Cached contacts and activities
    • Stored credentials
    • Reminders and message templates
    • App preferences

3. Revoke API Access:

  • Log in to your WordPress admin panel
  • Navigate to PloverCRM → Settings → Users
  • Revoke the API password for your account
  • This prevents the mobile app from accessing your data

Data Deletion from Third-Party Services

If you enabled integrations, data may also exist in third-party services:

Meta (Facebook) Lead Ads & Conversions API

Google Ads

Expo Push Notifications

  • Push tokens are automatically removed when you disconnect a workspace
  • Tokens are stored temporarily for notification delivery only
  • No personal contact data is sent to Expo services

Data Deletion Timeframes

Immediate Deletion

  • Contact records deleted from PloverCRM are removed immediately
  • Mobile app data is deleted immediately upon workspace removal or app uninstallation
  • Push notification tokens are removed within 24 hours of workspace disconnection

Backup Retention

  • If your WordPress site has automated backups, deleted data may exist in backups
  • Contact your hosting provider about backup retention policies
  • Backups are typically retained for 7-30 days depending on your hosting plan

Third-Party Services

  • Meta and Google Ads have their own data retention policies
  • Refer to their privacy policies for specific timeframes
  • Deletion requests to these services are processed according to their procedures

Verification of Deletion

After requesting deletion:

  1. You can request confirmation from the website administrator
  2. Administrators can verify deletion by searching for your contact record
  3. If the record no longer exists, deletion is complete

Exceptions to Deletion

Data may be retained if:

  • Required by law or legal proceedings
  • Necessary for compliance with tax or accounting regulations
  • Part of an ongoing dispute or investigation
  • Needed to complete a transaction you initiated

In such cases, the data controller will inform you of the reason for retention and the expected retention period.

Facebook App Data Deletion Callback

For users who connected PloverCRM to Facebook/Meta services:

If you remove the PloverCRM app from your Facebook account, we will delete:

  • Your Facebook access tokens
  • Page access tokens
  • Connection configurations
  • Any cached Facebook data

Replace {confirmation_code} with the code provided when you requested deletion.

For Your Personal Data Stored in a PloverCRM Installation

Contact the administrator of the specific website that collected your information. We do not have access to data stored in third-party PloverCRM installations.

Your Rights

Under GDPR, CCPA, and other privacy laws, you have the right to:

  • Request deletion of your personal data
  • Receive confirmation when deletion is complete
  • Lodge a complaint with a supervisory authority if your request is denied
  • Request a copy of your data before deletion (right to data portability)

Automated Deletion Features

PloverCRM administrators can configure:

  • Automatic deletion of contacts after a specified period of inactivity
  • Scheduled cleanup of old activity logs
  • Automatic removal of expired tracking cookies (90-day default)

These features help ensure data is not retained longer than necessary.
